We had a terrible time working with Tong & Mow Notaries. Rosalyn is on maternity leave and we were not advised of this when we first arranged our notary, we were only told as our closing date was near that she would be gone by then. Rosalyn advised us by phone that we would be helped by Lily and that their office would reach out to us once the documents were ready for signing the week before the closing. We received no phone calls and had to make several phones calls to schedule our appointment. We arrived to our appointment in-person and Lily was not aware we had an appointment that day. We ended up meeting with Susan to sign the documents anyways which was positive. They contacted us after the in-person appointment because they had missed a form for pre-authorized payment and required a signature and a void cheque which we had brought on the day of the signing and they had not asked for them. On the final closing date, they informed us mid-afternoon that they missed an additional photo ID and asked us to scan one so we had to scramble to get this to them. We had all our photo IDs with us on the in-person appointment date and they did not request for these. Also on the closing date, we were advised that the notary would inform us as soon as registration has been completed so we could obtain keys. It was 4:11pm (they close at 5pm) and they had not called us. We called them and they told us it would take 10 more minutes to complete. By 4:57pm their office was closing and we had not had any phone calls confirming registration which meant we could not obtain our keys for move-in. At 5:08pm they gave us the registration number and told us this should suffice. When the seller’s real estate agent requested the notary contact them directly to confirm registration was completed, they refused insisting the registration number should suffice. We asked for an email confirmation that we could forward to the seller’s real estate agent, they agreed to send an email to us and then did not. Eventually the seller’s real estate agent had to contact them directly. There was no clear idea whether this would get resolved in time as their office phone line is automated and it was past their office closing time. One month after closing, we were advised the notary did not pay our stata fee and we would be incurring late fees for the outstanding balance. We contacted the notary and they advised they “mailed out a cheque” 10 days after the first strata fee was due. I was told Susan was on vacation when I called. They rushed me off the phone stating that the strata should be reaching out to them directly if they don’t receive the cheque within this week. I have no control over whether strata account receivables will “reach out to them directly” as I was advised to do the followup myself. As a homeowner, the notary often gave me the indication that they were unhappy for me to followup with them directly and would rush me off the phone. On the other end, real estate agents and strata management consistently stated that their expectation was for me to do the followup with the notary to find out what is happening. I found Tong & Mow notary to be disorganized, they are likely closing on more properties than they can handle per day and are not completing the paperwork and communicating to the clients in a timely manner. Both Rosalyn and Susan are out of office so I have no idea who is actually handling any of these matters. Buying a home is a stressful enough process, I felt this notary made the experience confusing, disorganized and very uncertain. Your notary fulfills a very clear cut role in closing your home, if they cannot do this efficiently and effectively in a stress-free manner, then they should not be doing it at all. You’re probably better off going with another notary.
